About the Role

The De Parys Group is looking to appoint an experienced HR Administrator to support our organisation on a full time basis working 37.5 hours per week on site in our town centre office. This is a 12 month fixed term contract.

 Job Purpose: To provide comprehensive HR administrative support, ensuring all records, folders, and systems are accurate, up to date, and compliant with Information Governance (IG) requirements. The role will focus on meticulous attention to detail, supporting HR processes and documentation so that the practice is fully prepared for Care Quality Commission (CQC) inspections. This includes managing HR files, data integrity, and compliance with employment legislation and internal policies.

HR Administration and Record- Keeping
  • Maintain accurate and up-to-date HR records (digital and paper), including contracts, training records, right-to-work documentation, DBS checks, and personnel files.
  • Organise and update HR folders to meet IG standards, ensuring all sensitive data is stored and archived correctly in line with GDPR.
  • Ensure all HR documentation is easy to locate for CQC inspection purposes.
  • Regularly audit HR files to ensure completeness, accuracy, and compliance.
Compliance & Information Governance
  • Ensure all HR processes comply with IG and GDPR requirements.
  • Act as a point of contact for HR-related CQC evidence requests.
  • Maintain a document control process for policies, ensuring only current, approved versions are in use.
  • Support audits of training compliance (e.g., safeguarding, infection control) and maintain accurate training logs.
Recruitment & Onboarding
  • Support managers through the recruitment process, including posting adverts, shortlisting, scheduling interviews, and issuing offers.
  • Ensure pre-employment checks (references, right-to-work, DBS, occupational health clearance) are completed and filed.
  • Coordinate induction programmes, ensuring new starters complete all mandatory training.
HR Systems & Reporting
  • Keep HR software systems (e.g., PeopleHR, TeamNet, Bluestream) accurate and current, updating promptly with any changes.
  • Run regular reports to identify gaps in training, appraisals, and mandatory compliance records.
  • Support the Senior HR Manager in preparing workforce data for management meetings and inspections.
Continuous Improvement & Support
  • Identify and implement improvements in HR admin processes to increase efficiency.
  • Support managers with template documents and standardised processes to maintain consistency across the practice.
  • Provide administrative support during HR meetings, investigations, and employee forums, including accurate minute-taking.

About the Candidate

You will be a highly organised and efficient administrator, with excellent attention to detail and the ability to manage your own workload, managing conflicting priorities and working to deadlines. 
 
Knowledge of UK employment law and the ability to apply this to our internal policies is desirable to support our managers, as is experience of note and minute taking in confidential meetings. 
 
Qualifications:
  • CIPD Level 3 (Certificate in HR Practice) or equivalent experience
  • GCSE English & Maths (or equivalent)
  • Good IT literacy (Microsoft Office & HR systems)
Experience:
  • Previous HR administration experience, ideally in a healthcare setting or regulated environment
  • Experience handling confidential data in line with GDPR/IG standards
  • Familiarity with CQC requirements for HR records (desirable)
Skills & Attributes:
  • Exceptional attention to detail and accuracy in record-keeping
  • Highly organised with ability to prioritise workloads
  • Strong interpersonal and communication skills
  • Ability to work independently with minimal supervision
  • Understanding of the importance of compliance in a healthcare settings
