About the Role

Ongar Health Centre is excited to welcome a Medical Secretary to the team on a part-time basis for 25 hours per week working Monday, Wednesday, Thursday, Friday 10:00am – 4:30pm with a 15 minute break each day.
 
 The main responsibilities of the role include:
  • Working methodically and accurately with the ability to self-motivate, organise and prioritise own workload.
  • Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
  • Liaising with patients about their referral 
  • Maintaining an accurate referrals database
  • Actioning all incoming email relating to Referrals 
  • Inputting data into the patient’s healthcare records as necessary
  • Processing referrals using the electronic referral system (ERS)
  • Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Managing all administrative queries as necessary, sending expedite letters to hospitals
  • Supporting all clinical staff with general administrative tasks as requested
  • Generating referrals on behalf of a clinician and sending patient relevant paperwork with their appointment or UBRN number to be able to book their own appointment
  • Sending off Dexa referrals on behalf of a clinician
  • Dealing with ASD/ADHD paperwork, ensuring forms are completed for a GP to then be able to check and sign off
  • Monitoring worklists and sending responses to clinicians and hospitals 
  • Franking of outgoing post 

About the Candidate

The successful candidate must be able to undertake a range of administrative duties to support the multidisciplinary team, be able to work as part of a team, have the ability to organise and prioritise their own workload on a day to day basis.

Experience of a clinical system is preferred but not essential. 

We are looking for the following skills:

  • Excellent communication and interpersonal skills
  • Ability to work under pressure in a fast-paced environment
  • A clear and polite telephone manner
  • Respectful of patient confidentiality
  • Ability to work well as part of a team and autonomously.
  • Understanding of SystmOne preferred but not essential.
  • Previous experience of referrals and electronic referral service is preferred but not essential

We are a large, busy training practice, serving a patient population of 12,700 and operating from purpose built premises. 

We use Systmone clinical system and are rated Good with CQC.
